A highly prestigious Japanese food manufacturing and distribution enterprise is searching for an experienced Import-Export & General Affairs Staff to join their corporate office in Hanoi. Known globally for premium nutritional products, confectionery, and dairy infant formulas, the brand has established a highly trusted presence in Vietnam. This vacancy is open to replace a departing team member who has successfully managed the division's trade customs and general back-office administration.
The chosen candidate will take over a multifaceted role that combines professional trade operations with general administrative management. In addition to handling import documentation, managing label compliance, and collaborating with local custom brokers, the position is responsible for overseeing basic office IT inventory and general office coordination. The enterprise seeks a reliable, versatile individual around 30 years old who can communicate smoothly with Japan HQ and local sales agencies while demonstrating a cooperative and proactive work attitude.
【Responsibilities】
- Check and verify crucial import-export trade documents and coordinate transactions with the Japan headquarters.
- Prepare, process, and submit official customs declaration forms to ensure compliance with Vietnam's trade laws.
- Communicate with local distribution agents regarding product shipments, schedules, and custom invoicing issues.
- Oversee the compliance labeling workflow, ensuring product stickers are registered and applied correctly in Vietnam.
- Compile and analyze weekly sales performance data to report directly to the local management.
- Manage internal information security policies, ensuring proper utilization of corporate devices, cloud databases, and software applications.
- Act as the primary contact window for local IT system vendors to handle PC procurement, contract agreements, and troubleshooting.
- Arrange business travel logistics for incoming expatriates and visitors, including flight booking and hotel accommodations.
- Support the onboarding of new employees by preparing standard office stationery, PCs, and building entrance badges.
- Execute other related general affairs, administrative support, or logistics tasks.

<Must>
- Bachelor’s degree or higher
- At least 3 years of practical experience in handling import-export operations and customs clearance in Vietnam
<Prefer>
- Business-level Japanese proficiency (Possession of a JLPT N1 or N2 certificate to receive substantial monthly language allowances).
- Prior experience working within Japanese trading companies, food manufacturers, or similar B2B consumer goods environments.English Level
