    【Job Summary】
    - Responsible for timekeeping, payroll calculation, and Personal Income Tax (PIT) for all employees; managing personnel records and documentation.
    - Handles administrative and general affairs tasks, including office management, meeting room booking, reception support, work schedule arrangement and coordination, company car booking, ensuring smooth internal operations, compliance with regulations, and alignment with a Japanese corporate working environment.

    【Job description】
    1. C&B – Timekeeping & Payroll
    - Manage and consolidate monthly timekeeping data (working hours, overtime, leave, holidays, etc.).
    - Check and reconcile timekeeping data with relevant departments.
    - Perform monthly payroll calculation for all employees.
    - Calculate salaries, allowances, overtime, bonuses/penalties, and statutory deductions.
    - Prepare detailed payroll sheets and summary payroll reports, and coordinate salary payments.
    - Respond to employees’ inquiries related to timekeeping and payroll.
    2. Personal Income Tax (PIT)
    - Register Personal Income Tax codes for employees.
    - Register and manage dependent information.
    - Calculate PIT on a monthly/quarterly basis.
    - Prepare periodic PIT declarations and annual PIT finalization.
    - Monitor, archive PIT records, and coordinate with tax consultants/tax authorities when required.
    3. Personnel Records & Documentation
    - Manage personnel file,s including labor contracts, contract appendices, and salary decisions.
    - Store and update personnel records (both hard copy and soft copy).
    - Prepare personnel documents and related materials upon request for audits or internal reviews.
    4. Administration – General Affairs
    - Handle administrative and general affairs tasks for the office.
    - Manage office supplies, consumables, and related administrative expenses.
    - Book and prepare meeting rooms, support reception of guests and business partners.
    - Arrange work schedules as assigned.
    - Coordinate and book company vehicles; track vehicle usage history and related costs.

Qualifications

  • Requirement

    <Must>
    - College/University degree in Human Resources Management, Accounting, Finance, Administration, or related fields.
    - At least 3 years of experience in C&B/Payroll or General Affairs & Administration
    - Solid knowledge and hands-on experience in timekeeping, payroll calculation, and Personal Income Tax (PIT).
    - Familiar with personnel file management and labor contract procedures.
    - Proficient in Excel and office tools (Word, Email, etc.).

    <Prefer>
    - Candidates who live within 30 minutes by motorbike of Ben Luc (Long An).
    - Foreign language skills are not required, but will be an advantage ( English or Japanese)
