1. Thu thập, tiếp nhận chứng từ- Tiếp nhận, ghi nhận và theo dõi toàn bộ bộ chứng từ mua hàng và giao hàng do nhà cung cấp nộp cho từng lô hàng. Duytrì sổ theo dõi được tổ chức khoa học theo các tiêu chí yêu cầu.2. Xác minh và kiểm tra hoàn thiện của hồ sơ- Kiểm tra để đảm bảo từng bộ chứng từ đầy đủ, chính xác và bao gồm tất cả tài liệu theo yêu cầu. Xác minh tính hợp lệvà tính xác thực của các chứng từ đã nộp.3. Quản lý sắp xếp và lưu trữ tài liệu- Duy trì hệ thống lưu trữ song song bản mềm và bản cứng theo các tiêu chí yêu cầu, đảm bảo toàn bộ hồ sơ đầy đủ, chínhxác và dễ dàng truy xuất khi cần. Chuẩn bị và sắp xếp bộ chứng từ phục vụ xử lý thanh toán hàng tháng cho nhà cungcấp, đồng thời gửi cho bộ phận Tài chính đúng thời hạn.4. Hỗ trợ thanh tra/kiểm tra- Tổng hợp và sắp xếp đầy đủ hồ sơ, chứng từ làm bằng chứng phục vụ các đợt thanh tra, kiểm tra theo quy định hoặc ràsoát nội bộ. Chủ động phát hiện các thiếu sót hoặc vấn đề lặp lại liên quan đến chứng từ và báo cáo cho quản lý để cóbiện pháp khắc phục, cải tiến quy trình5. Trao đổi với nhà cung cấp và bộ phận nội bộ- Trao đổi rõ ràng và chuyên nghiệp với nhà cung cấp về yêu cầu chứng từ, các hạng mục còn thiếu và yêu cầu chỉnh sửa.Hướng dẫn nhà cung cấp về định dạng và nội dung chứng từ theo yêu cầu nhằm nâng cao độ chính xác ngay từ lần nộpđầu tiên. Phối hợp nội bộ để xử lý các vấn đề liên quan đến chứng từ khi cần thiết.
