    【Job Summary】
    We are seeking a proactive and detail-oriented Admin Assistant to join our growing team in Hanoi.
    This position plays a critical role in supporting the smooth operation of the office by handling a wide range of administrative, finance, accounting, HR, and sales support functions.

    【Responsibilities】
    -Finance & Accounting Support
    -Execute payment transactions through banking systems as a Maker for both domestic and international payments.
    -Prepare and organize supporting documents for outsourced accounting service providers.
    -Create and maintain commercial invoices and related documentation.
    -Verify vendor invoices and prepare invoice information for customers.
    -Support the preparation and processing of documentation related to Foreign Contractor Tax (FCT).
    -Ensure financial records and documents are properly maintained and archived.
    -Assist in coordinating with accounting service providers and internal stakeholders regarding finance-related matters.
    -Administration & HR Support
    -Scan, file, and maintain both physical and electronic documents.
    -Manage inbound and outbound courier and express delivery records.
    -Coordinate procurement of office supplies, stationery, drinking water, and other administrative necessities.
    -Support the organization of annual health check-up programs for employees.
    -Assist with administrative procedures and documentation for expatriate employees.
    -Maintain contract records and ensure proper archiving of company agreements and legal documents.
    -Coordinate office-related administrative activities and support management requests.
    -Ensure office facilities and administrative processes operate efficiently.
    -Sales Administration Support
    -Assist the Sales team in preparing weekly and monthly sales reports.
    -Collect and consolidate information required for sales reporting activities.
    -Support administrative coordination between Sales and other departments.
    -Maintain organized records of sales-related documents and reports.
    -Other related tasks.

资格

  • 任职资格

    【Must】
    -Bachelor’s or College degree in Business Administration, Accounting, or related fields.
    -At least 2 years of experience as an Admin Assistant, General Admin, or Sales Admin.
    -English (Intermediate level).
    -Proficient in standard Microsoft Office functions.

    【Prefer】
    -Experience with GA and other workflow management systems is a big plus.
    -Having worked at Japanese companies.
